The Wayzata Sailing Foundation is seeking an Event Coordinator to plan and execute the 2003 Silent Auction.

The Event Coordinator will be responsible for:
Organizing a committee to complete event tasks
Delegating tasks to committee members
Soliciting Silent Auction Donations from WYC members
Soliciting Silent Auction Donations from Twin Cities merchants
Creating a marketing plan to promote the Silent Auction

If you are representing a WYC fleet (i.e. Capri 25, J22, J24, etc.) and the majority of your committee members are in the fleet, 10% of the Silent Auction proceeds will be awarded to that fleet.


Typical tasks:

Create, copy and send letter(s) promoting the auction to all WYC members in the club database.

Subsequent flyers, communications, postcards, etc. continue once a month until the night of the WYC auction  - November.

Solicit donations at the club in person, post flyers, etc.

Contact all former donors by telephone and/or email to solicit donations.

Record all donations in a database assigning them an item number and record application donor information. This is an ongoing process until the night of the auction.

Create bid sheets and photocopy for the event. This can be done anytime 
prior to November.

Work with U of M team to have volunteers ready to work the event. 

Have enough tables to accommodate donated items. Sept / November.

Have cashier to work credit card machine only at auction. Oct. / Nov.

Have cashier to handle cash and personal checks. Oct. / Nov.
Work with Steve Bren to obtain a current club database for mailing and a map for the U of M team to locate winning bidders.

Oct. / Nov. Collect items donated and transport to the auction. This is ongoing up until the day of the banquet.

Set up auction day of WYC banquet.
